Timing is essential
Ideally, corporate events should be suitably timed before with the aim of gathering a large amount of people in attendance. Everything has to be established in advance hence invitations must be sent out no less than three to four weeks prior to the event. Remember that postal invitations make take some time, and may get lost along the way. An email or telephone reminder a week before the event is a must. Phoning is always better, as it allows you to interact with the potential attendee and ask any potential queries about the event they might have. It can also give you a better idea of the potential amount of people attending.
Secure a venue properly before
An event planner must secure the event venue in advance; top venues are booked quickly. Avoid ending up using a venue that is not up-to-standard. Furthermore, assure that the venue is secured and confirmed before sending out invitations. This does not only mean that you have booked it, but that you have a plan B in case of bad weather within the venue itself or close by. Think of all the worse-case scenarios – they might be real!
Secure suppliers and entertainment
Make sure you have confirmed suppliers (like caterers and beverage providers) in writing. It is important to know exactly what will be supplied, and at what price before the event. The same applies when booking entertainment for the event.
Realize the purpose of the corporate event
In general, the main purpose of the corporate event stress on communication among the guests. The purpose of the function might influence the whole idea of the event. Transmit the aim of the event to guests when thinking of the dress-code and the entertainment provided. Every event is different to the other. Do not be a victim of falling into the usual routine and copying last year’s event. Dare to give the event a twist, by thinking out of the box. It is only events with a difference that remain in people’s minds.
