What To Look For When Selecting a Venue
When planning an event, one of the most underestimated decisions is choosing the venue.
Read More >As the world continues to slowly ease out of Covid-19’s looming shadow, events have kept evolving to cater for the new era we live in. Having said that, there are still some basics that never change when it comes to hosting a successful B2B event, which can be summarised into five points.
Like any other business decision you take, when planning an event it’s key to understand the actual purpose of it and shape that purpose with goals and objectives ensuring that it remains in your crosshairs. Understanding your event’s purpose also means that you’ll plan it all better while also allocating funds and time appropriately.
Knowing who your audience is and understanding them is the next natural step to follow when planning your event. Once you’ve identified your target audience, you’ll need to understand where they are (social media, business magazines, business forums and so on) and how best to reach them. Check your list of potential guests and prop that up with further research.
Having all this information at hand will also help you determine the type of event you need to host.
The importance of venue choice can never be understated; you could have the best host, printouts and intentions, but if the venue is not truly suited to your needs, then your event will suffer and threaten your objectives. Keep in mind the activities you have planned for the event when selecting the venue, and make sure to cater for any online attendees.
Time is equally vital, in terms of start and end times, executing your event according to a timeline as well as allowing yourself enough time beforehand to plan your event properly and make sure you understand every aspect and requirement of your event. Plan for as many eventualities as possible to avoid slower response times on the day, and populate your event timeline with milestones and deadlines before you begin.
On the big day itself, follow the timeline as much as possible and keep track of the work being done, but also try to keep in tune with your guests and read the room to see if you need to delay a particular deadline or start it earlier.

Most corporate events look the same. Not because they have to, but because it’s easier that way. The same format, the same flow, the same decisions repeated over and over again. People show up, everything runs fine, and then it’s over. No real impact. No lasting impression. That’s the reality of a lot of corporate event planning today.
